Housing Buddy India, operated by NHTPL Management Consultants (“Housing Buddy”, “we”, “us”, or “our”), respects the privacy of individuals who use our websites, services, customer relationship management systems, placement operations, and related applications.

This Privacy Policy explains what information we collect, how we use it, how we protect it, when we disclose it, how long we retain it, and how users can request access, correction, or deletion of their information.

Google user-data disclosure: When a user authorizes our Google integration, the Housing Buddy application may access Google account information and Gmail data permitted by the OAuth consent screen and the permissions granted by that user. Google user data is used only to provide and operate the authorized Housing Buddy functionality, such as viewing relevant email, sending email from the connected account, maintaining communication history, and supporting CRM workflows.

1. Application and Services Covered

This policy applies to information processed through:

  • Housing Buddy India websites and web pages;
  • the Housing Buddy Central Operations & Placement CRM;
  • client, candidate, requirement, deployment, replacement, communication, finance, and reporting modules;
  • Google OAuth and Gmail integrations that a user expressly authorizes;
  • forms, enquiries, candidate registrations, service requests, and related communications.

2. Information We Collect

Depending on how you use our services, we may process the following categories of information:

3. Google User Data and Gmail Access

Our CRM provides an optional Google/Gmail integration. A user must actively authorize the connection through Google's OAuth authorization process. We do not obtain Gmail access merely because a person visits our website.

3.1 Google data we may access

Depending on the Google permissions presented to and approved by the user, the application may access information associated with the connected Google account and Gmail data necessary for the enabled CRM functions. This can include email messages, message metadata, message content, attachments, labels/mailbox information, and the ability to send or modify messages where the authorized Gmail permission allows those operations.

3.2 How Google data is used

  • Displaying relevant Gmail correspondence within the CRM.
  • Sending emails through the connected Gmail account when the user initiates or authorizes the action.
  • Associating relevant communications with client, candidate or operational records.
  • Maintaining communication history and supporting CRM workflows.
  • Providing security, auditing and troubleshooting for the authorized integration.

3.3 How Google data is not used

We do not sell Google user data. We do not use Google user data for targeted advertising, personalized advertising, creditworthiness decisions, lending, data brokerage, or purposes unrelated to the authorized application functionality. We do not use Google user data to train generalized or non-personalized artificial intelligence or machine-learning models.

3.4 Sharing of Google data

We do not transfer or disclose Google user data to third parties except where necessary to provide the authorized service, comply with law, protect our rights or users, or where the user has expressly authorized such disclosure. Service providers that process information for us are required to handle it only for the applicable service purpose and subject to appropriate confidentiality and security obligations.

3.5 Google data retention and deletion

We retain Google-derived information only for as long as reasonably necessary to provide the authorized CRM functionality, maintain legitimate operational records, meet contractual or legal requirements, resolve disputes, and maintain security. When information is no longer required, we delete it or securely dispose of it subject to applicable legal retention requirements.

A user may disconnect the Google integration and may request deletion of Google-derived information held by Housing Buddy by contacting admin@housing-buddy.in.

4. How We Use Personal Information

  • Create and administer customer, candidate and operational records.
  • Process service requirements and match candidates with suitable requirements.
  • Coordinate interviews, trials, deployment, replacement and post-deployment support.
  • Communicate by email, phone, WhatsApp or other channels selected by the user.
  • Issue invoices, record payments and maintain business records.
  • Operate, secure, maintain and improve our systems.
  • Prevent misuse, unauthorized access, fraud and security incidents.
  • Comply with applicable laws, regulations, lawful requests and contractual obligations.

5. Sharing and Disclosure

We may share personal information only where reasonably necessary for the purposes described in this policy. Depending on the service involved, this may include authorized clients, candidates, service providers, technology providers, professional advisers, payment/communication providers, or government and law-enforcement authorities where legally required.

Candidate information shared with a client is limited to information appropriate for the relevant placement or service requirement. Sensitive identity documents and internal verification information are not intended for unrestricted public display.

6. Data Security

We use reasonable technical, administrative and organizational safeguards designed to protect personal information against unauthorized access, alteration, disclosure, loss or destruction. Depending on the system and information involved, safeguards may include HTTPS/TLS, authenticated access, role-based permissions, session controls, access logging, password protection, restricted administrative access and secure server configuration.

No internet-based system can be guaranteed to be completely secure. Users should protect passwords, authentication codes and connected accounts and notify us promptly of suspected unauthorized access.

7. Access Control and Internal Use

Access to operational records is restricted according to user roles and business need. Administrative and sensitive actions may be logged for security, auditing and accountability. Client-facing access, where enabled, is designed to expose only information necessary for the applicable service or requirement.

8. Data Retention

We retain information for the period reasonably necessary for service delivery, customer support, accounting, legal compliance, dispute resolution, security and legitimate business recordkeeping. Retention periods may differ by data category.

When information is no longer required, we take reasonable steps to delete, anonymize or securely dispose of it, unless a longer period is required or permitted by applicable law.

9. Your Choices and Privacy Requests

Subject to applicable law and contractual obligations, you may contact us to request access to, correction of, or deletion of personal information held about you. You may also request information about processing of your personal information or withdraw an authorization where withdrawal is technically and legally possible.

Requests should be sent to admin@housing-buddy.in. We may need to verify the identity and authority of the requester before completing a request.

10. Cookies and Technical Data

Our websites and applications may use cookies, sessions and similar technical mechanisms necessary for authentication, security, preferences and system functionality. We may also maintain technical logs for security, troubleshooting and operational purposes.

11. Children's Privacy

Our business and CRM services are intended for adults and business users. We do not knowingly request or intentionally collect personal information from children for independent use of our services.

12. Third-Party Services

Our services may integrate with third-party providers, including Google and communication, hosting, payment or infrastructure providers. Their services may have separate privacy terms. We use such providers as appropriate for the functions of our services and require reasonable safeguards where applicable.
